Connects
Example call
A client calls at 9pm to move her Thursday pedicure. AssistCall answers and takes down the times she can do. You get the summary and recording by email and reschedule her in Vagaro the next morning.
- Forward your Vagaro business line to AssistCall when you're busy or closed. Each call's summary, transcript and recording is emailed to you so you can book the client in Vagaro.
- Send AssistCall's appointment.booked and message.taken events by webhook to your own endpoint or an n8n workflow that alerts your front desk.
- Once Vagaro approves your API access, an n8n workflow can fetch a Vagaro access token and create a Personal Task in Vagaro (for example, 'call back Maria') whenever AssistCall takes a message.
How it connects
- Call forwarding: Forward your business line to AssistCall when busy, after hours or always. Works with any carrier.
- Webhook: Signed JSON for every call, message and booking, sent to any HTTPS URL you choose.
- n8n: Start an n8n workflow with a webhook node, then call the app with its node or an HTTP request.
About Vagaro's API
- Self-serve API: you can create a key in your account
- Style: REST (JSON)
- Authentication: Client ID and client secret exchanged for a short-lived access token (docs example: expires_in 3600)
- On Zapier: no. On Make: no.
API and webhook access is off by default, and Vagaro has to approve it. A business requests it in Settings > Developers > APIs & Webhooks (desktop), and Vagaro reviews the request, typically within about 5 business days. Vagaro's own update page says to contact its Enterprise Sales team to enable the feature. A third-party setup guide says the account must be on a paid, non-trial plan using Vagaro credit card processing, and that access costs $10/month for 5,000 calls; neither point appears on Vagaro's own pages. The documented public endpoints mostly read data: retrieve appointments, search appointment availability, retrieve customer, retrieve services. Create Personal Task is the only documented create endpoint; there is none for creating customers or appointments. Because access tokens are short-lived, a fixed key won't work for live lookups, so any API work goes through an n8n workflow that fetches a fresh token first. There is no Vagaro app on Zapier. Make lists a community-built Vagaro app that Make does not maintain.
Not included: no one-click Vagaro app, no listing in Vagaro's marketplace, no two-way sync, and no partnership with Vagaro, Inc..
